Introduction to our terms and conditions
Welcome to Out There Entertainments. By using our website or booking any of our services, including DJ hire, karaoke, live music, chocolate fountains or buffets, you agree to follow the terms and conditions outlined on this page. These terms are designed to ensure a smooth experience for everyone and apply to all users and customers unless otherwise stated in writing.
Please read through everything carefully before making a booking or using any of our services. If you have any questions, feel free to get in touch with us directly.
Using This Website – terms and conditions
Our website is here to showcase our services, offer event inspiration, and make it easier for you to get in touch. All content, from images and logos to copy and design, is owned by us or used under licence. You’re welcome to browse and share the site for personal, non-commercial purposes – but copying, modifying or reusing any part of the site without permission is not allowed.
We do our best to keep the site up to date and functioning well, but we can’t guarantee uninterrupted access or complete accuracy at all times. We’re not responsible for any issues or damages that result from your use of the site or any technical hiccups.
Bookings & Confirmations – terms and conditions
When you make a booking with Out There Entertainments, either through the website, by phone, email or in person, we’ll confirm the details with you directly. All bookings are subject to availability, and your event is only considered secured once we’ve confirmed it and, where required, received a deposit.
We reserve the right to decline bookings if we feel we’re unable to provide the service to a standard that meets our expectations and yours. We aim to be as flexible as possible, but we can’t guarantee availability until you receive full confirmation from us.
If you’ve booked a package (such as DJ & Chocolate Fountain), all elements are considered a single agreement and must be cancelled or changed in line with our terms.
Payments and Deposits
Some of our services may require a deposit to secure the booking. This is usually a small percentage of the total cost and will be made clear to you during the booking process. Deposits are generally non-refundable unless we cancel due to unforeseen circumstances on our end.
The remaining balance is typically due on or before the day of the event. We accept bank transfers, cash, or other agreed methods of payment. Failure to pay in full before the event may result in cancellation of services, unless alternative arrangements have been made in writing.
Late payments may be subject to additional charges. We’re always happy to talk through payment options, especially for larger events, so just ask.
Changes and Cancellations
We understand that plans can change. If you need to cancel or rearrange your booking, please let us know as soon as possible. Cancellations made less than 7 days before the event may be subject to a charge to cover any preparations or lost bookings.
If we have to cancel due to staff illness, equipment failure or an emergency, we’ll let you know straight away and do everything we can to offer a replacement or reschedule the event. In rare cases where we cannot provide the service or a suitable alternative, a full refund will be given.
If an event is cancelled due to circumstances beyond our control (such as extreme weather, venue issues or client non-compliance), refunds will be at our discretion.
Equipment and Setup
We provide all the equipment needed for our DJ services, karaoke, chocolate fountains, and buffets. On the day of your event, we’ll arrive in good time to set up and test everything. We ask that you or your venue provide clear access, a power supply, and any specific details needed for setup.
Please ensure the space provided is suitable, especially for fountains or food displays, which may require a flat, stable surface and safe access to power.
You agree to take reasonable care of our equipment while we’re on site and to let us know if there are any venue-specific restrictions or limitations. If equipment is damaged due to negligence or misuse, you may be liable for repair or replacement costs.
Guest Conduct and Safety
We want your event to be enjoyable and safe. If any of your guests behave in a way that endangers our staff, our equipment, or the event itself, we reserve the right to pause or end the performance or service.
Examples include aggressive behaviour, damage to equipment, refusal to follow health and safety instructions, or creating an unsafe environment. We’ll always try to handle things calmly and respectfully, but safety comes first.
Alcohol is often a part of many events we work at, but it’s important that guests remain respectful of staff and the venue throughout.
Photos and Promotion
We occasionally take photos or short videos during events for use on our website or social media, to showcase what we do. We’ll always be discreet and focus on our services rather than your guests. If you’d prefer we didn’t take or share any media from your event, just let us know ahead of time and we’ll fully respect that.
We never use personal data or identifiable guest photos in promotional material without permission.
Liability and Limitations
While we work hard to provide a high-quality, professional service, we cannot be held responsible for factors outside of our control. This includes things like power outages at venues, unforeseen guest behaviour, or venue access issues.
In the unlikely event that we’re unable to fulfil a booking, our liability is limited to the amount you’ve paid for that booking. We do not accept responsibility for any loss of enjoyment, earnings, or additional costs that may result.
All services are offered “as is” and we cannot guarantee specific results or outcomes beyond what was agreed in advance.
External Links and Services
Sometimes our site or social media may link to other local businesses, venues or entertainment providers. These links are there to help or inspire – but we’re not responsible for their content, policies, or services. Always check external websites or providers independently before making bookings or payments.
Changes to Terms and conditions
These terms and conditions may be updated from time to time to reflect changes in how we work, updates to our services, or changes in the law. Any major updates will be posted clearly on our website, and by continuing to use the site or our services, you accept those changes.
If you have an active booking with us when a change is made, we’ll do our best to notify you directly if it affects your agreement.
